Wrapping all your printing needs into one monthly payment with a managed print services contract certainly makes sense. But do you know what you’re actually signing up for? As your local print experts we thought you’d find it handy if you had an idea of likely key components in your MPS contract.
Length of contract
If the contract ties you in for, say three or five years, in business terms, that’s a long time. The nature of your business and your printing needs can change massively over that period. So what you should be looking for is a measure of flexibility.
Number of pages you can print per month
Before you enter into any contract you really should find out how much you print on a weekly or monthly basis? The best way to do this is to ask your supplier to carry out a print audit. If you don’t, you could end up paying for a whole lot more than you actually use.
Printers
Does your managed print service contract allow you to use your existing printers? Chances are it won’t, meaning that you’ll have a new printer fleet installed.
Paper
Does the contract include paper? Probably not. So do you have to account for this as a separate expense with another supplier?
Price increase
Your fixed monthly fees might not be as fixed as you thought! Watch out for the cheeky incremental price increase, sometime referred to as the fixed price increment. This can take place at any time, without notice!
